Terms of Service

These Terms explain how organizers, participants, voters, vendors, sponsors, admins, and visitors may use Pitform.

Operator

Pitform is owned and operated by Varvara LLC dba Axacraft. Axacraft operates Pitform as software for car show and automotive event organizers and their participants, attendees, staff, voters, vendors, sponsors, and administrators.

These Terms apply when you access the Pitform website, application, tenant subdomains, event pages, registration flows, ticketing flows, check-in tools, voting pages, participant tools, administrator tools, or related services.

If you use Pitform on behalf of a club, venue, event company, sponsor, or organization, you confirm that you have permission to accept these Terms for that organization.

What Pitform Provides

Pitform provides event operations software. The platform includes tools for event setup, registration, ticketing, vehicle profiles, QR display codes, check-in, voting, awards, results review, public pages, payments, refunds, exports, and reporting.

Pitform is a platform provider. It is not the event owner, event operator, venue, promoter, judge, sponsor, or organizer unless a separate written agreement says otherwise.

The organizer remains responsible for running the event. Pitform provides the tools; the organizer makes the event decisions.

Accounts And Access

Some parts of Pitform require an account, authorized access, a shared staff PIN, a signed ticket link, or another access method. You are responsible for keeping access secure and for activity under your account, session, PIN, or link.

Do not share access in a way that exposes participant data, payment information, voting controls, results review tools, organizer-only workflows, or platform administration tools to unauthorized people.

We may suspend, limit, or terminate access if we believe activity is unauthorized, unsafe, unlawful, disruptive, or violates these Terms.

Organizer Responsibilities

Organizers are responsible for the events they create and manage through Pitform. This includes event details, registration rules, vehicle classes, eligibility, pricing, refund policies, cancellation policies, schedule changes, venue requirements, judging rules, voting setup, award decisions, participant communication, public event pages, and published results.

Organizers are also responsible for complying with applicable laws, venue rules, safety requirements, sponsor requirements, and any rules they publish to participants.

Pitform gives organizers operational tools. The organizer decides how those tools are configured and used.

Participant And User Responsibilities

Participants and other users are responsible for submitting accurate information when registering for an event, entering a vehicle, making a payment, checking in, voting, claiming a display code, or interacting with Pitform.

This includes contact information, vehicle details, class selection, uploaded images, entry details, ticket details, and any event-specific information requested by the organizer.

Users should only submit content they have the right to provide, including vehicle photos, descriptions, logos, team names, sponsor references, or profile information.

Content And Platform License

You remain responsible for the content and information you submit to Pitform. This includes event details, registration data, ticket data, vehicle profiles, images, voting inputs, results data, vendor details, sponsor information, and messages.

By submitting content, you grant Pitform and Axacraft a limited license to process, store, host, display, transmit, and use that content as needed to provide, secure, support, and improve Pitform and to operate event-related features chosen by the organizer.

Pitform does not own your event or vehicle content. This permission allows the platform to function.

Payments, Fees, And Refunds

Pitform may support free and paid registrations, tickets, refunds, organizer payment workflows, vendor spaces, sponsorships, merchandise, and other event-related purchases. Payment processing is provided by Stripe or other third-party payment processors, not by Pitform directly.

Stripe collects and processes payment details under its own terms and privacy policy. Pitform receives limited transaction, order, ticket, fee, refund, connected-account, payout, and account-status information needed to support the platform and event operations.

Organizers set event prices, refund rules, cancellation terms, and transaction policies. Unless separately agreed in writing, Pitform is not responsible for organizer refund decisions, event cancellations, participant no-shows, rejected entries, class changes, or disputes about event-specific charges.

Public Event Pages, Vehicles, Voting, And Results

Public event pages can display event details, organizer-provided content, participant information, vehicle profiles, classes, sponsors, vendors, voting status, awards, and results.

Participant vehicles and related profile information can be visible publicly. Results can appear after voting is completed or after the organizer publishes them.

Organizers decide what event information is collected, reviewed, displayed, and published. They are also responsible for voting setup, category rules, judging methods, tie resolution, winner overrides, and final award decisions.

Pitform provides the operational tools. It does not guarantee that every vote, result, category assignment, or award outcome will be free from organizer error, incomplete participant data, connectivity issues, or event-day disputes.

Ownership

Pitform, the software, product design, workflows, source code, documentation, trademarks, and platform materials are owned by Varvara LLC dba Axacraft or its licensors.

These Terms do not transfer any ownership rights to you. You may not copy, reverse engineer, resell, interfere with, or misuse the platform except as allowed by these Terms or a separate written agreement.

Acceptable Use

Do not misuse Pitform or interfere with the platform. Do not attempt unauthorized access, submit false information, manipulate votes, disrupt event workflows, scrape the platform, reverse engineer private areas, impersonate another person, or use Pitform to harm organizers, participants, attendees, vendors, sponsors, or the platform.

Do not attempt to bypass tenant isolation, payment controls, voting limits, check-in controls, security protections, or rate limits.

Do not upload or submit content that is unlawful, misleading, abusive, invasive of privacy, malicious, unsafe, or that you do not have the right to use.

Third-Party Services

Pitform relies on third-party services to operate the platform, including Stripe for payments, hosting providers, authentication providers, database and storage providers, email delivery services, analytics tools, security tools, and support systems.

Those services have their own terms and privacy policies. Pitform is not responsible for third-party services outside of its control.

Platform Availability And Changes

We work to keep Pitform reliable, but the platform may be updated, interrupted, delayed, or unavailable from time to time.

We may change, add, remove, or improve features as Pitform evolves. Workflows may change as we refine event setup, payments, reporting, and other operations tools.

Pitform is provided on an as-is and as-available basis. Pitform does not guarantee uninterrupted availability or permanent access to every feature.

Disclaimers And Limitation Of Liability

Pitform supports event operations. It does not guarantee that an event will run without issues, disputes, delays, payment conflicts, connectivity problems, participant errors, voting disagreements, or organizer mistakes.

To the maximum extent allowed by law, Varvara LLC dba Axacraft and Pitform will not be responsible for indirect, incidental, special, consequential, exemplary, or punitive damages. This includes lost revenue, lost profits, event disruption, reputational harm, data loss, participant disputes, refund disputes, or issues caused by organizer decisions or third-party services.

To the maximum extent allowed by law, our total liability for claims relating to Pitform is limited to the amounts paid to Pitform for the service giving rise to the claim during the three months before the event giving rise to liability, or one hundred dollars if no such amounts were paid.

Indemnity

You agree to defend and indemnify Varvara LLC dba Axacraft, Pitform, and their personnel from claims arising from your event, your content, your misuse of the platform, your violation of these Terms, or your violation of law or third-party rights.

Suspension Or Termination

We may suspend, restrict, or terminate access to Pitform if these Terms are violated, the platform is misused, payment activity is suspicious, event data is at risk, or continued access could harm Pitform or other users.

Organizers and users remain responsible for activity that occurred before access was suspended or terminated.

Governing Law And Venue

These Terms are governed by the laws of the State of Idaho, without regard to conflict-of-law rules. Courts located in Idaho will have venue for disputes relating to these Terms or Pitform.

Changes

We may update these Terms by posting a revised version with a new effective date. Continued use of Pitform after changes take effect means you accept the updated Terms.
